Situation
The White Plains Hospital Center (WPHC), a 307 bed hospital located in central Westchester County, is a part of the Stellaris Health network. WPHC realized that their current computerized maintenance management software (CMMS) was not giving them the flexibility they required. They weren’t able to customize the reports for the multiple regulatory agencies and the inspectors that oversaw the hospitals both nationally and locally. WPHC began looking for a software package that provided them with enhanced and customizable reporting options as well as the flexibility to manage their facility however they chose to. WPHC chose Gannett Fleming, Inc.’s Saber™ system to meet these requirements.

Challenges
WPHC serves approximately 11 percent of Westchester County’s total impatient discharges. It is a key provider in central Westchester County. It was critical that the conversion was done quickly and efficiently and that no data was lost. The hospital is Joint Commissioning on Accreditation of Healthcare Organizations JCAHO) accredited and can be inspected at any time. Therefore, their maintenance history had to be converted seamlessly and personnel had to be quickly trained in the new software, especially the reporting functions.

Solution
Gannett Fleming’s solution was to convert the data from the old CMMS directly into Saber onsite. By doing this, we were able to minimize downtime and ensure that the maintenance records seamlessly transferred from the old CMMS to Saber. The data was converted into Saber within a half an hour. The program was installed on various workstations throughout the hospital. Saber was fully operational within 3 hours.

Training was conducted to ensure that personnel were completely comfortable with the Saber system. Work orders were able to be generated immediately out of Saber which meant that there was no backup of work.

The conversion to Saber was completed quickly and successfully. WPHC was able to completely transfer their work history, equipment history, equipment inventory, equipment schedule, and procedures to Saber with no data loss. They were down for less then a half an hour and were able to continue entering work orders immediately after the conversion was finished.

Personnel were trained in two days in the use of the system and the reporting functions. WPHC can now use the powerful reporting tools and flexibility of Saber to help them run their facility in whatever manner that they deem best.
