The New York University School of Law (NYU) was looking for a computerized maintenance management system (CMMS) for their 400,000-square-foot campus, housing four buildings, in the Washington Square Park area of New York City. NYU’s goal was to help direct their maintenance department from a fire-fighting philosophy to a proactive preventive maintenance philosophy. They also wanted the CMMS program to interface with their central users database and other accounting software so that user names, passwords, and accounting numbers are shared.

Challenges
NYU was not satisfied with the inflexibility of their existing software providers. They wanted to select a CMMS supplier that would be flexible in the implementation of the software and also be willing to modify the program to suit their unique requirements. They also wanted the same vendor to be available to assist NYU in the development and implementation of an equipment database, preventive maintenance procedures, and preventive maintenance schedule.

Solution
To meet both their short-term and long-term goals, NYU awarded Gannett Fleming, Inc. the contract to install a CMMS package. Our CMMS, Saber™, was implemented to achieve the desired level of maintenance while keeping NYU’s operating costs down. The installation included work order, web-based work orders, equipment, preventive maintenance, and employee functions.

To meet the requirements of NYU’s Information Technology group’s long-term strategy, a specification was developed to indicate how the CMMS database will interface with other NYU software such as accounting, purchasing, and human resources. This specification was then submitted to Gannett Fleming, and the Saber software was modified to meet these requirements.

Additional services offered were providing access to preventive maintenance procedures library, performing data collection efforts, scheduling preventive maintenance procedures, providing additional training on the Saber software, and providing facilities management consulting services.
